Background:
A capacity building support project titled “Transfer of Knowledge Through Expatriate Nationals (TOKTEN)”, signed between the Liberian Government and the United Nations Development Programme (UNDP), on 27 June 2006 is now operational.

To coordinate the activities of the TOKTEN Programme, the Project Implementation Committee (PIC) of the TOKTEN Programme is seeking applications from qualified Liberians for the post of Administrative Assistant.

Duties and Responsibilities:

Under the supervision of the Project Coordinator, the Administrative Assistant will perform the following tasks.

  • Oversee the procurement and administration of TOKTEN Project logistics and supplies; follow-up with vendors for speedy delivery, and ensure that goods are received in good condition, properly maintained and accounted for.
  • Oversee the maintenance of the installations, equipment, premises and furniture of the Office that host the project, including assessing their cost effectiveness to advise management of their replacement, supervise all maintenance staff and maintain updated inventory of office equipment, furniture, vehicles and supplies. Identify obsolete items in the inventory and advise Project Coordinator on appropriate administrative action.
  • Attend all internal administrative related meetings held under the project and other forums as may be requested by the Project Coordinator.
  • Ensure availability, efficient deployment and regular maintenance of the project equipment, including vehicle (s), generator (s), computers, and other equipment for operational purposes.
  • In line with approved workplans and specific request of the Project Coordinator, liaise with UNDP and other development partners on administrative and financial issues and to ensure timely payment of salaries and travel documents for TOKTEN staff.
  • Perform other tasks and responsibilities as may be assigned by the Project Coordinator.

Qualification, knowledge and experience:

Candidates must possess:

  • An Associate Degree in administration or social science, or equivalent.
  • Demonstrate adequate administrative skills, including computer literacy in at least Microsoft Word, Excel, PowerPoint, and the internet research.
  • Five (5) or more years of administrative experience in a reputable organization.
  • Good communication, client service and interpersonal skills.

Must be a Liberian
