Post Title : UNV Country Operations Assistant

Duration : One Year (Initially for three months)

This vacancy is open to applicants of either sex. Preference will be given to equally qualified women candidates.

Under the overall guidance and direct supervision of the UNV Programme Officer, the Country Operations Assistant provides administrative support to UNV activities in the country.

Summary of Key Functions:

Provide administrative support to the UNV Programme as follow:

Personnel

• Follow up of the recruitment process for UNVs from Liberia, to Liberia and NUNV

• Maintain personnel files of all the UNVs serving with the UN Agencies in Liberia

• Update leave records of the UNVs

• Keep records of contractual status and follow – up actions on post extension, renewals and replacement with the supervisors and the UNVs.

• Receive medical insurance claims from UNVs check for completeness and forward them to the DRRO for signature

• Receive UNVs’ claims, check for completeness and forward them to the DRRO for signature and to the Finance Section.

• Ensure that inventories of UNVs’ personal effects are compiled, updated and sent to the UNV HQ.

• Take part in the interview of the candidate selected for a UNV Position and draft interview report.

• Follow up the fulfillment of the initial and the final Report


• Follow up of the payments for the UNVs with Finance and Travel Units

• Do follow-ups to ensure prompt approval of vouchers by approving officers;

• Briefing of the UNVs on the CoS and administrative issues.


Logistic

• Collect quotations for UNV travels.

• Prepare vouchers in ATLAS related to the UNV payments (VLA, travels, claims).

• Monitor UNV project expenditures.

• Ensure safe arrival of the UNV (follow up of the visa upon arrival, security clearance, arrangement with the drivers)

• Ensure that all UNVs arriving in the country are met and accommodated temporarily pending allocation of a permanent place.

• Assist UNVs in finding a permanent accommodation.

• Assist UNVs in opening a bank account and in completing forms required to obtain residence visa.

• Maintain inventories of all UNV supplied non-expendable equipment, as well as stock records for all items purchased for UNVs or UNV executed project.

• Assist in carrying out surveys on housing and utilities relevant to UNVs.

• Draft and type correspondence.

• Maintain general office file.

• Perform other functions as may be assigned by the UNV PO

EDUCATION AND EXPERIENCE

* University Degree in Business or Public Administration
*3 to 5 years of administrative experience is required preferably in the UN system.
*Experience in the usage of computers and office software packages (MS Word, Excel, etc) and
* Experience in handling of web based management systems (People Soft) will be an added advantage.
*Fluency in spoken and written English
