| DDRR Database The
DDRR Package is a unique customised package developed on
site at the Joint Implementation Unit (JIU). This package
was developed in one year, customised to meet all the DDRR
Programme needs. Presently, the package is managing more
than half a million records with five different profiles.
This comprehensive package is used by more than 20 staff
members of various units like the Data Entry section, Monitoring
and Evaluation (M & E), Reintegration and Formal Education
in real time mode in the intranet. The software is also
customised to be able to cover other parts of the country
where UNDP has its field offices. This software is able
to cover all the field offices in real time mode from the
UNDP Liberia Country Office. The central database is controlled
from the JIU from where regular updates to the UNDP CO and
backups are taken regularly. The software is also compatible
with graphical displays like Ex-Combatants photos and reports
with photographs. The software has a detailed table that
displays detailed information on all weapons collected during
the disarmament phase.

| Global Fund Transaction
Tracking Database
This
database package was developed to enable the Finance Unit
of the Global Fund Programme to respond to the needs of
the sub recipients in time and to generate reports on activities,
requests, and disbursements in “one click”. Before the implementation
of this package the Finance unit was using MS Excel to keep
track of the work. The implementation of this software had
enabled the unit to collect the information from the sub
recipients in the intranet and store it in the central database
and to produce various reports according to the requirements.
This database has 3 different profiles for different activities
i.e. 1) Administrator to control the entire operation of
the software 2) Request entry profile to enter just the
requests received from the sub recipients 3) and the Disbursement
profile which is used only by the finance person who enters
the disbursement reports from the sub recipients. This is
an intranet and internet-based solution, which was developed
according to the specific needs of the unit. This is extended
through a static IP function on the Internet.

Procurement Pipeline
Database
The
procurement pipeline database application was developed
to meet the needs of the DEX procurement department. This
is a network-based package, which has the ability to connect
all the programmes into one central database with user access
profiles. The programmes will be able to put in their requests
using their login IDs which will be directed to the procurement
department from where consolidated reports can be generated
by programmes and by products requested collectively by
all the programmes. This solution simplifies the work of
chasing the requests from time to time. All the activities
from the point of request entry to payment to the vendors
are automated and can be tracked down with a transaction
serial number to know the status of the request at any point
of time in the procurement pipeline. This software minimises
the requirement of the manual methods.

| CSO
Database (Community Based Reintegration)
This
database solution was developed to maintain the information
about the Civil Society Organisations (CSO’s) in Liberia.
This database is an intranet as well as internet-based solution,
which can be accessed from anywhere. This software has 3
different profiles, which are used to allow the data entry
clerks to enter the CSO information inside the central database
and the strategic management to prepare reports from the
information collected into the database and the administrator
to control the entire operation of the database. The software
does not collect just the entries alone but it can also
process hand- written documents, which are provided by the
CSO’s in PDF format. These PDF files can also be accessed
along with the records online. This makes it easier for
any user to easily pull out the original document corresponding
to the record, which is manually signed by the presenter
of the information for the database entry.

Drug Management Software Development
For the National Drug Service (Global Fund Programme)
This database was developed to build the
capacity of the National Drug Service (NDS) to enable the
Organisation to track the movements of the drugs and provide
services to the various sub recipients of the Global Fund
Programme. The software has the capability to connect the
programmes involved in the Global Fund Programme to access
the information inside the central database maintained in
the UNDP CO through internet in real time and raise the
Purchase Order for the drugs that are stored for the programmes
at NDS. On the other end at NDS, the inventory is updated
online to keep all the programmes informed about the stocks
on real time. Once the programmes raise the PO, the distribution
lists are made at NDS and the software is updated automatically
once the drugs are delivered. This enables the projects
to get reports on various stock levels of their drugs online.
Also the Principal Recipient is also enabled to prepare
reports online. The software is specifically tailored for
meeting the needs of the Global Fund drug distribution.
Automatic expiry alerts for the drugs is one of the specialties
of this package.

Asset Tracking System 
This is another unique and tailored product
for the DEX Service Center, to keep track of all the assets
of the UNDP to various programmes, partners and non-government
organizations. This asset-tracking database is useful in
locating assets and custodian information of the asset at
any point of time. This solution is developed in intranet
and internet environment, which in the near future will
be accessed from different parts of the country. The central
database will be located in the UNDP CO and all the other
stations will have read and write access into the database
to maintain the assets from their locations. The system
is capable of generating automatic alerts to alert the administrator
of the software to take necessary action on the conditions
of the assets. Reports from various locations are special
features of this package.
